When it comes to deciding what to delegate to a virtual assistant you might not be too sure of where to start. And of course, this is completely understandable, particularly if this is the first time you’ve worked with a VA.

As a business owner you probably like to take your time to build trust and create a genuine rapport with new business networks. It’s likely, however, that you’ve decided to hire a VA because you’re time poor and just need to get stuff done! We understand the stress that can take over when you’ve got too many things on your plate. That’s why we think it’s important to work with someone who have have an instant connection with.

We also think it’s important to give you an idea of what a virtual assistant can generally do within 1 hour. Of course there are exceptions and if you’re looking for a specialist business manager, then you’re probably going to want to spend more time on a job description or getting your head around exactly what to delegate.

However, if you’re looking to delegate mundane tasks that are taking up all of your time, then we recommend that you start with some of these activities:

What To Delegate: 

Making Your Phone Calls

Count on approximately 20 calls an hour for call back ups and uncomplicated calls. For sales calls you might be looking at anywhere between 5-20 calls per hour depending on the complexity of your script.

Managing Your Emails

There are a host of email-related activities that you can delegate to your new virtual assistant, including:
  • Setting up a mailing list and importing a list to an email management system.
  • Creating a basic email newsletter to send out to your list – 30 minutes (content provided), however longer if you expect your VA to write your content as well.
  • Manage your emails on a daily basis – anywhere between 10-20 minutes per session. This includes categorising all your emails as they come in and responding to basic queries on your behalf.

Online Research

Realistically, one hour should be enough time to do basic online research on travel and accommodation and make the relevant bookings on your behalf. If you’re looking for research on products or mystery shopping, then you’ll be looking at about one hour per five products.

Typing, Formatting, and Creating Documents and Presentations

  • If you’re looking for basic document typing and formatting, then using 80 words/minute then you’re averaging about six pages within one hour. Of course this depends on how easy it is to read handwriting and if you have specific formatting requirements.
  • For formatting using a style already set up in Word then count on about 30 minutes.
  • To help you create a presentation that is unique and speaks to your brand, then you’ll be looking at about 10 slides in one hour. This may or may not include including your content – it most definitely won’t include writing your content.
  • A virtual assistant can also help you set up your webinars – if you have a list, then you’ll be looking at about 15 minutes to set up the webinar and sent your invitations – however you’ll need longer if you want help loading the presentation and getting it webinar ready.

Online Marketing

For specialist writing projects – such as simple blog posts or articles – then an experienced virtual assistant with a background in writing should be able to do this for you within an hour. If you want the article to be written to include specific keywords and be optimised for search engines, then you’re probably going to need to budget for more than an hour.

If you’re looking to ramp up your social media presence, a virtual assistant can spend about 15 minutes a day/platform to help you build relationships and keep connected. You might like to also have your virtual assistant curate content for you as well.
